Operations and Compliance Manager

Summary of Job Purpose:

To manage the operations and compliance activities within our European Head Office, ensuring that all activities are conducted in strict accordance to GDP

Reporting to: Director of Operations

Key Responsibilities: Operational Functions

  • Co-ordinate and execute the shipping of products on a global basis ensuring all activities conform to GDP
  • Provide administrative support with respect to Invoicing, Sales Orders, Purchase Orders and all associated customer facing activities
  • Maintain a thorough understanding of the required Standard Operating Procedures (SOP); and ensure one’s actions are in line with the SOP’s and Good Distribution Practice
  • Ensure that the highest level of service is delivered to clients and service levels are monitored
  • Deliver proactive solutions across the role to deliver service excellence
  • Maintain a thorough understanding and knowledge of the SOP’s and internal polices and ensure one acts in accordance with these at all times
  • Maintain a high level of communication both external with suppliers, vendors and clients and internally with the team
  • Maintain a high level of accurate documentation in line with internal policies and procedures
  • Ensure that objectives set within company KPI’s are achieved in line with strategic company goal
  • Report generation
  • Key holder responsibilities

Quality Functions

  • Document control, update and circulation of new processes / forms in within the QMS folder
    • Archiving of all superseded documentation
  • Filing of quality documentation
  • Timely communication to the Senior Quality Manager of the following Quality Alerts:
    • Deviations
    • Customer Complaints
    • Non-conformities
  • Conducting root cause analysis
  • Temperature monitoring of shipments and the associated tasks to include addressing excursions and documenting review and excursions
  • Assist in any recalls (should this be required)

Required to be ‘on call’ to provide access 24 hours a day if required

Skills and competency required for the role:

  • Experience in shipping pharmaceuticals products on a global basis
  • A good and thorough understanding of GDP
  • Excellent verbal and written communication skills
  • A passion to provide excellent service levels
  • Potential educated to degree level but not a necessity
  • Business acumen
  • Demonstrating an approach to support continuous improvement
  • Ability to work without supervision utilising own initiative but very much a team player
  • The ability to multi-task and to work well under pressure
  • Excellent self-planning and organisational skills
  • High level of attention to detail
  • Able to provide proactive solutions to resolve issues in an effective and swift manner
  • Negotiation skills
  • Proficient in MS Office packages such as Excel and Word
